Terms:
- Presentation: the document created using PowerPoint
- Slide: each page of the presentation
- Transition: movement between slides in the show
- Animation: movement of text and/or graphics on the slides; sound effects
- Slide Sorter: displays all the slides and allows you to sort, re-arrange, copy or delete slides
- Slide Show: shows the full-screen slide show
Getting Started:
- Start PowerPoint by clicking on the orange P in the dock
- Choose PowerPoint Presentation and click OK
- On the “New Slide” page select the slide you want (probably title to start)
- Click on Format on the menu bar
- Click on Slide Design
- Select the design you would like to use and click Apply
- Click on Format again and go to slide Color Scheme
- Here you can choose the shades you wish to use in your slides. Click the colors and click preview to see if you like it. Once you decide on your color scheme, click apply or apply to all. If you desire different sections of your presentation to be visually divided, a nice way to do this is by changing the color scheme. You need to go into each slide to apply the chosen color.
- Again go to Format and click on Slide Background this time. You can choose a background color, select more colors, or fill effects. Under fill effects, you can choose gradient, texture or pattern and click ok.
Entering Information:
- For text, click inside the box and type in the information you want.
- To change the font style, size and/or color, highlight the text and click on Format on the Menu Bar and then click on Font.
Adding Slides:
- Go to Insert on the Menu Bar and click on New Slide.
- Select the layout of the new slide.
Adding Clip Art:
- Choose a slide with a clip art area.
- Double click on the clip art area.
- Choose the clip art you like and hit insert.
- You can also find clip art online, save it, and go to File, Insert, Picture, From File to insert it.
- You can click on Format Picture and add colors and lines, resize, move the position or crop the picture.
Adding Pictures:
- If you have a clip art area where you plan to insert a picture, delete the clip art area.
- Scan a picture, upload a picture from a digital camera or save a picture from the Internet.
- Go to Insert, Picture, From File and locate your file in the folder.
- Once you’ve inserted it, you can move, crop and size it.
Adding Animation:
- Go to Slide Show and click on Animations and then Custom.
- In the top left, you can select which part you wish to animate.
- Then, under entry effect, select how you wish to animate it.
- In the bottom left, you can select preview to decide if you like the animation.
- You may then go through the same process with other animations.
- Once you have selected your animations, click OK.
To View Slides, Move Slides, or Edit Slides:
- Click on view on the Menu Bar
- Click on Slide Sorter
- Use this layout to rearrange the order of the slides, copy slides, or delete slides.
- Double-click any slide to work with it.
- To move a slide, click and hold your mouse button on the slide and drag it to the location where you would like it to go. You will see a line appear between slides to show you the new location of the slide.
View your Slide Show:
- Click on Slide Show on the Menu Bar.
- Go to View Show
- To advance your slides, you may click or press the space bar.
- Automatic advancing without the mouse can be set up: click on Slide Show on the Menu Bar and choose Slide Transition, then change the options to advance after a certain length of time.
- During your slide show, you can back up or end your show by clicking with your right mouse button and using the shortcut options.
Slide Transition:
- Click on Slide Show on the Menu Bar
- Select Slide Transition
- Choose the transition effect and the speed of the transition
- Click on Apply to apply it just to that selected slide, OR click on Apply to all to apply the transition to all the slides in the show.
Presentation Tips:
- Do not let animation and graphics become distracting or too cutesy. The purpose of your presentation is to share information in an attractive and organized way, not to show off all the special effects of the program.
- Use only key points on your slides and keep them brief. You need to elaborate, explain, and discuss the information on your own. Your PowerPoint is only an additional tool – it is not your entire presentation. You need to know your topic well enough to discuss it.
- Remember that your focus should be on the audience; you should not be turned around watching your PowerPoint.
- Do not simply read from your PowerPoint. Use the notes at the bottom of the screen to explain what you want to say for each screen.
Printing:
- Click on File on the Menu Bar
- Select Print
- Switch the second preset from Copies and Pages to Microsoft PowerPoint
- You can then select if you want to print Slides (one slide per page), Handouts (2, 3, 6, or 9 slides on a page), or the notes.
- Click OK.
